This policy describes how AuraEX LLC (“SmartDMS”, “we”) handles information on smartdms.org. Donations and member records processed inside the SmartDMS platform for an organization are controlled by that organization; this policy covers this marketing website.

Information we collect

• Enquiries. The contact form opens your email app with a pre-filled message. We receive only what you send us, such as your name, email address, organization and message.
• Chat assistant. Messages you type into the website assistant are sent to our server and to an AI model service to generate a reply. Please don’t enter sensitive personal information.
• Usage data. We use Google Analytics 4 and Microsoft Clarity to understand how the site is used, such as pages viewed, clicks, device and approximate location, and session recordings with page interactions. These tools may set cookies or similar identifiers.
• Server logs. Our hosting records technical data such as IP address, browser and requested pages for security and reliability.

How we use it

To respond to enquiries, run and improve the website and product, measure which pages and links work, and keep the site secure. We do not sell personal information.

Sharing

We share data with service providers that help us operate the site (hosting, analytics and the AI model service), and where the law requires it. Those providers process data under their own terms.

Your choices

You can block cookies in your browser, use a browser tracking-protection setting, or contact us to ask about, correct or delete information you sent us.

Retention and children

We keep enquiry emails as long as needed to answer them and for our records. The site is not directed to children under 13.
